In term of write a minute meeting.This elements is very important for make sure meeting running smoothly and as in schedule.The element are:

Roles of chairman/Chairperson

Most meetings require a chairperson in order to control and direct the proceedings. They carry the authority to keep order and maintain progress in line with the agenda. The role of the chair is similar to that of an umpire or referee, aware of the rules of conduct and capable of enforcing these when necessary. However, the chair is also an important member of the group and may be required to vote on the major issues and may even have to exercise a casting vote.

After the chairperson, the secretary is the most important official at a meeting. The role of a secretary in a successful meeting is reviewed below:

Roles of secretary
An effective secretary can assist the chair in planning, conducting and concluding a meeting. The secretary can take much of the load off the chair, so that the chair can spend his time more effectively and efficiently.

The role of the secretary starts before the meeting, continues during and beyond the meeting. Thus the preparatory, administrative, clerical and follow up work falls under the jurisdiction of the secretary.

Meeting Agenda

A good meeting agenda will serve as a guide to participants, making the meeting more efficient and productive.An effective meeting agenda, which states what activities will take place during the meeting, serves various important functions:
  • It forces the meeting leader or group to think out what needs to be accomplished
  • Provided ahead of time (as it should be), the agenda lets people know what to expect and allows them to prepare as necessary
  • It provides a blueprint or path for the meeting to follow
  • It reminds people of what there is left to cover if time gets to be an issue

Effective Meetings - Tips
The following are some tips to help you make your next meeting successful, effective and maybe even fun.


Before The Meeting
1. Define the purpose of the meeting.
2. Develop an agenda in cooperation with key participants. See a sample agenda.
3. Distribute the agenda and circulate background material, lengthy documents or articles prior to the meeting so members will be prepared and feel involved and up-to-date.
4. Choose an appropriate meeting time. Set a time limit and stick to it, if possible. Remember, members have other commitments. They will be more likely to attend meetings if you make them productive, predictable and as short as possible.
5. If possible, arrange the room so that members face each other, i.e., a circle or semi-circle. For large groups, try U-shaped rows.
6. Choose a location suitable to your group's size. Small rooms with too many people get stuffy and create tension. A larger room is more comfortable and encourages individual expression.
7. Use visual aids for interest (e.g., posters, diagrams, etc.). Post a large agenda up front to which members can refer.
8. Vary meeting places if possible to accommodate different members. Be sure everyone knows where and when the next meeting will be held.


During The Meeting
1. Greet members and make them feel welcome, even late members when appropriate.
2. If possible, serve light refreshments; they are good icebreakers and make your members feel special and comfortable.
3. Start on time. End on time.
4. Review the agenda and set priorities for the meeting.
5. Stick to the agenda.

-Meeting is the best event for the people solve problem. In organization, meeting is the important thing for make sure organization operate in smoothly and in schedule. Meeting has their own format,usually meeting is the formal event.Here, is the format of minutes meeting :

Important matters raised by the chairman in his opening address.

II. CONFIRMATION OF MINUTES
Record the decisions on the minutes of the previous meeting.Including:
i. confirmed with amendments
ii.confirmed subject amendments

III. MATTERS ARISING
The main topics raised should recorded.To facilitate reference,page number and the paragraph number of the previous minutes

IV. DISCUSSION OF WORKING PAPERS.
Matters according this section:

i. Title of working paper
ii. Agency/person that prepared the paper
iii. Objective of working paper
vi. Important issued raised in the working paper
v. Members comments/view regarding the issues raised in working paper
iv. Meeting decisions concerning issues raised and follow-up action that need to be
taken

V. OTHER MATTERS
Contain other matters raised in the meeting.That is not originally on the meeting agenda.

VI. CONCLUSION
Here the several thing at this section:

ii.The chairman's closing address
iii. Date of the next meeting

State the date meeting minutes are prepared


NOtes:
*Agenda is the most important and should be circulated prior to the meeting to allow those attending to add any additional points they wish to discuss
*This will then allow you to work out roughly how long the meeting will last.if there is only one point on the agenda then it might not last very long.
*And by circulating the agenda,we can find out who will be able to attend so will be able to book a room as appropriate.

BLOg oh BLog

This time i suppose to create blog..thing that i never think hahahaha. Last time,my friends has told me when u want to say something "shouting to the world"..this is the best way...all people can know...everything hahahaha.actually i didn't get a chance to learn how to create blog. Lastly, my lecture teach me at the lab...aha! it so easy to create blog(That why he as lecture). Knowledge, Experience and best skill communication is important. I seen so many blog before this...there are awesome..this give me challenge to create something....yeah something....ok..my head quite tired because translate malay to english ....haha

i need a rest ......Oxygen oxygen..for my head.try this relax ur mind.
